We built a structured recruiting funnel with consistent outreach messaging, a defined pipeline of stages from initial interest to signed agreement, and follow-up sequences that didn't depend on the owner personally responding to every inquiry. We built structured workflow around deadline tracking, documentation, and compliance checkpoints, so nothing depended on an individual agent's memory or a manager manually checking files. This gave leadership confidence that quality and compliance would hold steady even as transaction volume increased significantly.

We built leadership dashboards showing recruiting pipeline status, agent production, onboarding progress, and forecasted closings in one place. For the first time, ownership could see the health of the entire operation at a glance instead of piecing together updates from separate conversations with different people managing different parts of the business.

The Results: Faster Growth, Without Losing Control

Over the following six months, Sterling & Oak grew from 30 to 68 agents, more than doubling headcount without a corresponding increase in operational chaos. New agent time-to-first-transaction improved measurably compared to pre-buildout onboarding, and compliance-related issues, which had occasionally slipped through under the old informal process, dropped to effectively zero under the new workflow.
