Ridgeline Property Group had grown from a single office to three locations in under four years, and their systems hadn't kept pace with that growth. Each office was running its own version of lead tracking, one used a CRM that hadn't been updated in years, another relied heavily on spreadsheets, and the third split the difference between both. Starting With an Honest Audit, Not a New Tool

Before recommending any platform or rebuild, we spent the first two weeks mapping how leads actually moved through each of Ridgeline's three offices, where they came from, how they were assigned, what happened after first contact, and where they tended to fall through the cracks. That audit made it clear the problem wasn't a lack of software. It was the absence of a single, shared architecture that all three offices operated inside of.

Designing One Pipeline Across Three Offices

We consolidated Ridgeline onto a single CRM and built one unified pipeline structure that all three offices ran through, with office-level visibility built in so leadership could see individual location performance without losing the overall picture. Lead stages, follow-up automations, and assignment rules were standardized, which meant a lead behaved the same way and got the same quality of follow-up regardless of which office it originated from.

Connecting the Tools Ridgeline Was Already Using

Rather than forcing Ridgeline to abandon every tool they relied on, we integrated their MLS and IDX feed directly into the new CRM, along with their texting platform and transaction management software, so data flowed automatically between systems instead of requiring manual entry across four separate platforms. This alone eliminated hours of weekly administrative work that had previously fallen on office managers at each location.

Before this project, Ridgeline's ownership pieced together performance data from three separate office managers, usually with a lag of several days. We built centralized dashboards showing real-time pipeline status, lead source performance, and closing attribution across all three offices in one place, so leadership could make decisions based on what was actually happening, not what had happened two weeks ago.

Within ninety days, the gap between a lead entering the system and receiving first contact dropped by 90% across all three offices, largely due to standardized automation replacing manual, inconsistent follow-up.
